This guide explains how to configure recording, audio cues, muting, and chat options when creating or editing a group session in Togetherly. ## Prerequisites - You must have a facilitator or admin account - Your organisation must have call recordings enabled to see the recording option ## Steps ### Step 1: Open the session creation or editing page Navigate to your Sessions page and click the button to create a new session, or open an existing session to edit it. The session options are found below the scheduling fields (date, time, duration, and frequency). ### Step 2: Find the Session options panel Scroll down to the "Session options" card. This panel contains toggle switches for controlling how your session behaves. Each option has a description on the left and an on/off toggle on the right. ![Find the Session options panel](https://help.together.ly/rails/active_storage/blobs/proxy/eyJfcmFpbHMiOnsiZGF0YSI6MjA3LCJwdXIiOiJibG9iX2lkIn19--c355ff2180038ded3ebc2b88572e0d708a206e79/step_1.png) ### Step 3: Configure join and leave beeps The first toggle, "Play a sound when participants join and leave", controls whether an audible beep plays each time someone connects or disconnects. This is turned on by default and helps facilitators know when attendance changes during a call. Toggle it off if you prefer a quieter experience. ### Step 4: Enable or disable audio recording The "Record the audio of the session" toggle lets you capture a recording of the entire call. This option only appears if your organisation has call recordings enabled. When turned on, the session audio will be saved and can be reviewed later from the session's detail page. Recordings may also be used for AI-generated transcription and safeguarding analysis if those features are enabled for your account. ![Enable or disable audio recording](https://help.together.ly/rails/active_storage/blobs/proxy/eyJfcmFpbHMiOnsiZGF0YSI6MjA4LCJwdXIiOiJibG9iX2lkIn19--3ed475386a944473fd8be021d0faec0d8116fffa/step_3.png) ### Step 5: Set guests to join muted Toggle "Have service users join muted" to automatically mute all participants (except facilitators) when they first connect. This is useful for larger groups where you want to control the flow of conversation. Participants can unmute themselves once they are in the call, or you can unmute them from the facilitator controls. ### Step 6: Save your session options After adjusting the toggles to your preference, complete the rest of the session form and save. If you are editing an existing session, click "Save changes" to apply your updated options. Your settings will take effect the next time the session runs. ## Tips - The audio recording option will only appear if your organisation administrator has enabled the call recordings feature for your account. - Join/leave beeps are on by default. Consider turning them off for large group sessions where frequent joining and leaving could be distracting. - If you enable "Start guests muted", remember that participants can still unmute themselves during the call unless you manually mute them as a facilitator. ## Summary You now know how to configure session recording, join/leave beeps, guest muting, and chat options for your group sessions. These settings can be adjusted at any time by editing the session before it starts.
